Top Tips for Being an Administrative Assistant

Working as an administrative assistant can be an incredibly varied role. There are many responsibilities and duties attached to the job title, and these can vary depending on the demands of your current employer. This makes it an exciting position two have, as no two days will be the same.

If you are currently looking for work as an administrative assistant, or you are simply hoping to move jobs within the industry, it can be a challenging search. There are always plenty of willing candidates within the market.

So, what would make you stand out from the rest? How can you elevate yourself to being an excellent administrative assistant, as opposed to a good one?

Take a look at some of these tips to get yourself noticed within the industry.

Be a leader

Whilst you might not have had office management experience, there are other ways to display leadership qualities and skills. Volunteering for an organisation outwith work that will allow you to manage adults or children demonstrates a clear passion for leading with flair. It’s the perfect way to get management experience on to your CV.

Perfect communication skills

Within any office, communication is king. You need to be able to address colleagues and clients appropriately, make instructions clear and be able to get results. All of this can be done through speech and body language. Practice a firm handshake and volunteer for some public speaking that you wouldn’t normally undertake. A big part of administrative duties can be written correspondence, so work hard to ensure your spelling and grammar is up to scratch.

Learn all aspects of the role

Make sure you know how to use all of the office equipment, be it a photocopier or a phone switchboard, so that nothing can throw you off your stride. Many offices now utilise Skype conference calls – is this an app you are familiar with? It’s important to keep your skills set up to date. Online training videos are the perfect way to do this.

Get techie

Using most aspects of Microsoft Office is a pretty standard aspects of an administrative assistant role, but are you confident with elements such as PowerPoint or Access? There are plenty of online courses to help you fine tune your skills. You could also learn to use programmes such as Adobe InDesign in order to create PDF white papers and posters for the company. Any extra skills will add value to your CV.

Refine your organisation skills

Everyone who has worked within the administrative services sector will know that being able to find a file at the last minute or rearrange a busy diary is a fairly regular occurrence. So, it’s important to find an organisation or planning system that allows you to show off your skills. Whether it’s a daily diary of tasks or a different type of filing system, it’s important that whatever you use can be used with ease. The less time you spend looking for things, the better.

Great read, always looking for extra ways to be more efficient around the office. I just wanted to share something I've been doing recently. I run an office and have noticed that unused toner was piling up in storage. Looked into returning but that was no good. Tried out the site http://www.tonerconnect.net/ and was impressed. They had quick service and that payout was nice.
